What To Do If You Need A Print Job…. QUICKLY

What to do if you need a print job quickly IMAGE

In a perfect world, you know far in advance when you need your marketing brochures, flyers or business cards for your team printed. You have plenty of time to design, edit and push the project through to printing.

But let’s be honest: we don’t live in a perfect world. And there will definitely be a time in your business where you need a project printed IMMEDIATELY.

So what do you do if you need a print job… quickly?

Have A Print Partner In Your Pocket

Now, this is one that you’ll need to cover BEFORE you need a rush print job, but if you print on regularly, you should find a print partner that you can work with on an ongoing basis. Sourcing a print partner takes time, and when you find yourself in a situation where you need a print job completed quickly, you don’t want to waste days or weeks interviewing and finding the right person for the job.

When you’re interviewing print partners, make sure that you ask them about how they handle rush jobs. Are there any additional fees if you need your print project completed in 24 hours? What happens if you need a print project on off hours or on the weekend? What systems and processes do they have in place to make sure that you get your print projects on time, every time?

Taking the time to find the right print partner BEFORE you need a print job in a hurry will save you major headaches when that time inevitably comes.

For more tips on finding the right print partner, check out 5 Things To Look For In Your Print Partner.

Use Print Templates

For most print jobs, there’s no need to reinvent the wheel. And the general layout of things like marketing cards, direct mailers and business cards won’t change much from project to project. And just like your graphic design partner, your print partner should have a variety of templates of standard jobs that you can easily customize when you’re pressed for time.

Using templates significantly speeds up the printing process. Rather than developing your print layout from scratch, you can simply insert the text and image that you need and get your project from conception to print quickly and easily.

Use Your Online Ordering Portal

One of the biggest time savers when you need a print job done quickly is an online ordering portal. Online ordering portals should be a non-negotiable with your print partner; they make the process quicker, easier and more convenient.

Ordering through an online portal speeds up the process in a number of ways. First of all, it eliminates the need for unnecessary emails; the portal organizes all of the communication and edits for your print project and makes it readily accessible (and in one place) for you and your printer.

It also ensures that your rush print job doesn’t fall through the cracks. For example, if you have a last minute print job on a Friday night, your printer isn’t likely expecting to hear from you. An email might get lost in the shuffle. But if you order through the online ordering portal, the ball will automatically start rolling and your print partner will be notified that you have a project that you need done STAT.

With the right print partner in place, getting your rush print job finished quickly should be an easy and pain free process.

Print Best Practices

CURRENT ROGUE LOGO_SMALLER

Hiring a print partner to make sure that you get the highest quality print projects completed. Here are some print best practices to ensure that you hire the right person or team:

Find A Printer Who Leverages Cutting Edge Technology

When choosing a print partner, you want to make sure that they’re leveraging cutting edge technology and all of their equipment is new and up to date. If your print partner is using equipment that is 5+ years old, you’re going to be missing out on recent advancements, and your documents aren’t going to look as polished as you want them to.  Not to mention the costs savings associated with latest technology equipment through reductions in labour time.

Bottom line, is if your printer isn’t using the newest and best technologies, they’re not going to be able to deliver the highest quality print jobs. When you’re interviewing potential print partners, ask them what printers and programs they’re using, why they chose them and when the last time they upgraded all of their machines and systems was. Do your research and find out what technologies are the most effective for the type of print job you need, and make sure that your print partner is using it before you make a commitment.

Hire Someone With Experience Printing Exactly What You Need

There are numerous types of print jobs, from business cards to saddle stitch booklets, and each potentially requires different methods of imposition, unique finishing machines and varied levels of expertise. Before you decide on a print partner, you want to make sure that they have extensive experience in printing the types of documents and collateral that you’ll be needing.

Ask your potential print partner to show you samples of work from previous clients that is similar to the type of work that you would need done. Ideally, they should be able to provide at least 5 samples of work that’s on par for the type of project you need printed. When reviewing, look at the WORST of the samples and ask yourself “if my print job turned out like this, would I be happy?” If the answer is no, they don’t have the right experience and you should look for another partner.

Avoid Surprises And Get All Your Information Ahead Of Time

One classic mistake that people make when hiring a print partner (or any other contractor, for that matter) is just assessing their partner on their skills and not getting all of the information they need about the working relationship to make the right decision. Obviously, you need to hire someone who has the skills to complete your print jobs well. But there’s so much more to a working relationship than that.

Before you start working with a print partner, it’s a best practice to find out as much information about their work style and communication as possible. So, for example, what’s their process for rush jobs? Will you incur extra fees if you need a job turned around in 24 hours? What do you do if you need a print job completed on a weekend?

Details like that might seem insignificant during the hiring process, but asking these questions up front will save you from some potentially disappointing surprised down the road. The more information you can find out about what it’s going to be like to work someone, the better you’ll be able to make a decision on whether they’re the right fit for your needs.

Insist On An Online Ordering Portal

When you’re hiring a print partner, you want to make sure that they have an online ordering portal. Having an online ordering portal is incredibly convenient, will keep all of your communications organized and eliminates a significant amount of work on your part when sending over print jobs.

3 Questions To Ask Your Print Partner About Training Collateral

training-manual-imageWhen it comes to training, there’s a lot of things that you’ll need in your arsenal to be successful – a solid training program, great trainers to keep your team informed and engaged and training collateral to support your team as they go through the trainings.

Just like any other collateral in your business, you’re going to want to work with a trusted print partner who can bring your training vision to life. Here are 3 questions to ask your print partner about training collateral that will ensure that you get the collateral – and vendor experience – that you’re looking for:

What’s The Best Format For My Training Materials?

One of the main reasons that you’re going to your print partner to print your training materials is because you consider them an expert. So asking for their expertise not only on the printing process, but on what format would be best for each of your training materials, can give you valuable insight and make your training materials more effective.

For example, your print partner can tell you whether or not your training manual would be better traditionally bound or turned into a cross stitch booklet depending on the size and number of pages. They can also offer guidance on things like what size marketing cards would be the best fit for your corporate contact cards and what size and format brochure would be best for your training packets.

Before you decide on what format you want to print your training materials, ask your print partner for their input.

What’s Your Policy On Edits?

Here’s the thing about training materials: as your business changes, your training materials will likely change as well. While there are certain pieces of collateral that will stay the same, the vast majority of your training materials will change as your business grows and evolves. And before you enter into a print relationship with a vendor, you need to know their policy on edits.

Will you have to pay to have your training materials completely redesigned each time you make a change, or do they have templates where you can easily change minor information and order a reprint? Do they offer deals on print runs if you edit and reprint your training materials each year?

Knowing what to expect from your print partner as your training materials inevitably change will save you money and frustration down the road.

Do You Have An Online Ordering Portal?

The last question you’ll want to ask your print partner is if they have an online ordering portal. An online ordering portal will make it a breeze when you need to order materials before your sales meeting or when you make a new hire. It’s also an great way to keep track of any requested changes and to easily view and adjust your training templates as needed.

Tying Your Print Collateral Into Your Corporate Training Program

training_guideWhether you’re a small company or a large corporation, it’s important to have some sort of corporate training program in place. Corporate training programs help new employees and contractors get up to speed quickly and ensure that your team is aware of and adhering to the policies and procedures you have in place.

While a significant amount of your corporate training program should incorporate person-to-person training, print collateral is a great way to support in person trainings and give your team hard copies of important training points to reference throughout their employment.

Here’s some print collateral you’ll definitely want to tie into your corporate training program:

Corporate Training Manuals

The first piece of collateral you’ll want to have printed for your corporate training program is a master Corporate Training Manual. This guide should be a comprehensive overview of everything and anything your team needs to know about your business. Your corporate training manual should include everything from company wide best practices, how to submit time-sheets or invoices, login information for necessary company systems and software, HR information and just about everything in between. Your employees and contractors should be able to answer any question they might have during the training process by referring to the corporate training manual.

In most cases, corporate training manuals will be lengthy, so you’ll want to have them professionally printed and bound (saddle stitch booklets are a clean, professional and modern option for longer documents like training manuals). Depending on the size of your team, you might want to print one master corporate training manual for your office, one manual for each department of one manual for each individual.

Training Pamphlets

Training pamphlets are great for digging deeper on the topics covered in your corporate training manual. Pamphlets can cover a specific topic, like social media marketing or submitting time-sheets, and go more in-depth on exactly how to complete the process, step-by-step. These will give your employees or contractors a map of exactly how different areas of your company function that they can quickly refer to as they go through training, rather than sorting through the corporate training manual every time they have a question or need to go through a process.

You can print your training pamphlets just like you would a marketing brochure, and to keep costs low only pass them out to employees who will be managing each process (so, for example social media marketing training pamphlets would go only to your marketing team while timesheet submission training pamphlets would need to go out company wide).

Contact Cards

Contact cards are also a great piece of training collateral to give out to your team. These cards highlight who the appropriate contact is for each area of your business and how to reach them.

So, for example, let’s say you wanted to create a marketing contact card for your team. You could include “For graphic design submissions, contact XXX at XXX@yourcompany.com” and “For marketing copy requests, contact XYZ at XYZ@yourcompany.com”.

Contact cards are hugely helpful; not only does it train new team members on who they need to get in touch with for their projects, it also increases productivity but cutting back the amount of time people spend searching for who to get in touch with or submitting/requesting work to the wrong people within your company.

Rather than print contacts on individual business cards, we recommend using larger marketing cards with room for multiple contacts.

Training Flash Cards

Just like teachers use in schools, Flash cards can be an effective training tool to help your employees and contractors retain the information that they learn during your corporate training program.

Have your trainer develop a list of questions based on their training and then develop training flash cards around those questions. For example, if your trainer is running a social media marketing training, a great question for a training flash card might be “Name three of our company’s best practices for posting on Facebook” or “What are three words that describe the tone we’re aiming for on our social media profiles?”

Training flash cards can be taken home and studied by new team members and trainers can use them as a tool to check in on their progress. Marketing cards are a great print format for training flash cards.

Print Essentials For Your Corporate Training Business

julkaisutThere are plenty of things that you need in order to run a successful training business: a solid business plan, great presentation skills and the ability to network and generate leads like a pro. There’s also plenty of PHYSICAL things that you’ll need, including print collateral, to get the most out of your corporate trainings.

Here are some print essentials that you’ll need in order to get the most out of your corporate training business:

Presentation Folders

When you’re leading a corporate training for one of your clients, you need to present your materials in a professional way. The last thing you want to do is throw a bunch of documents at your trainees without any sense of organization.

Presentation folders are an essential for corporate trainers. They are the perfect way to house all of your training documents and present them in a way that’s organized, professional and on brand. Your presentation folders should include your logo and any other branding you want your clients to remember. That way, whenever your clients reference the training and look at the documents you provided, they’ll be reminded of your brand and how impressed they were with your training and presentation, making them more likely to reach out for future corporate training needs.

Training Manuals

It should go without saying, but an absolute print essential for your corporate training business is training manuals. Training manuals incorporate everything you’re teaching and packages it in a way that’s easy for your trainees to understand, interact with and reference in the future.

Depending on the length and format of your training materials, you can either print and package your training materials in a more traditional way using coil or wire bindings or punching a hole in the materials and housing them in binders or you can jazz them up and create saddle stitch booklets that have the appearance of a more professionally bound book with a spine.

Rogue Print and Mail can now offer saddle stitching on training manuals that are up to 200 pages – an offering unique to us that allows us to present your materials for training in a much more professionally finished way, completed with a square edge spine that makes them look like they are perfect bound, at a fraction of the cost of perfect binding.  Click here to see the machine in action!

Marketing Cards

Just like any other business, you’ll need to market your corporate training business in order to generate new leads, book new trainings and build a book of solid clients. Marketing cards are a must in any corporate marketing campaign and have a multitude of uses that can help you generate new business.

Leading a training at a professional event? Bring marketing cards with you to pass out to attendees who might have businesses of their own that need your services. Looking to generate business in a new neighborhood? Use marketing cards for a mailing campaign to drive new inquiries. Launching a new training package? Design a marketing card to send out to your existing and potential customers to let them know about it.

Business Cards

Business cards are a must for any professional, including corporate trainers. You’ll want to have professionally designed business cards on hand for networking events, business meetings and to leave behind after corporate trainings with your contacts to pass along to their colleagues as referrals.

When choosing a business card, make sure that you design a card that’s on brand and stands out from the pack. When businesses hire a corporate training company, they want to hire a trainer who will be memorable and make an impact on their team, and your business card should speak to that.
